First approve the barcode data
Before asking for a packed sample, freeze the data that the symbol represents. The approval record should identify the barcode type required by the buyer’s system, the encoded number, the human-readable number, the SKU or style, color, size and pack configuration to which it belongs.
The person supplying the number and the person verifying it should be named. A visually correct symbol with the wrong SKU mapping is still wrong. When several colors or sizes share similar artwork, use a matrix that gives each retail unit a clear item-to-code relationship.
Then approve the printed label
The printed output should be compared with the approved data and artwork. Check the human-readable digits, label size, symbol proportions, quiet space, text hierarchy and any required country, care or product information that shares the label.
This is not the point to assume that a supplier should change barcode dimensions or placement to “make it fit.” If the intended label conflicts with other required content, return the layout for a documented decision.
Build the complete pack before the physical check
The sample should use the intended packaging structure: curtain, folds, insert, hanger or board where applicable, inner bag, closure and the actual label material. It should represent the pack orientation used for handling and retail presentation.
Place the label on the agreed panel of the pack. Check that it does not cross a gusset, seal, sharp fold, closure or highly curved area. Transparent packaging can introduce reflections or allow dark fabric and printed inserts to change apparent contrast. A barcode that scans on a loose white label may behave differently when applied over the real pack.
Run a practical scan check and record the conditions
Use the real encoded number and scan the assembled pack in the orientations that are realistic for receiving or retail handling. The buyer should define the acceptance method required by its own system or retail channel. This article does not prescribe a universal scanner model, scan count or grading threshold.
Record the device or app used, the pack orientation, the result and any observation such as glare, label lifting or obstruction. A successful check supports approval only for the reviewed code, label and pack configuration; it should not be generalized to every SKU without confirming that the relevant variables are unchanged.
Create one approval pack
The strongest reference combines the approved artwork file, barcode data matrix, photographs of the completed pack and a retained or clearly identified physical sample. Version and date should appear in the record so that a later artwork change does not silently replace the approved reference.

Frequently asked questions
Is a scan from the PDF enough?
No. It may help confirm that the encoded symbol is readable on screen, but it does not validate the printed label on the final pack. Material, print quality, placement, glare, folding and adhesion remain untested.
Can one packed sample approve every color and size?
Only when the buyer has confirmed that the code, label, background, pack structure and placement are genuinely equivalent. Different SKU data must still be mapped and checked. Darker fabric behind a clear bag or a different pack depth may also change the physical result.
Who should own the barcode number?
The buyer should define the authorized data source and approval owner. The supplier can reproduce the supplied code and prepare the pack, but should not invent or infer the commercial mapping.
